St. Michael & All Angels Episcopal Church seeks an Administrative Assistant to provide essential support for data management, recordkeeping, and general administration. This position will support the church’s operations, ensuring that vital records and data are accurately updated, maintained and readily available. The Administrative Assistant will report to the Rector and work closely with the Finance Committee and Associate for Administration.
Key Responsibilities:
- Oversee Migration to New Parish Data Management System:
- Facilitate the transfer of parish data to a new management system;
- Ensure the accuracy and integrity of data migration;
- Manage subsequent data updates and maintenance within the new system.
- Data Management:
- Assist the Associate for Administration with ongoing data entry and maintenance;
- Support the Membership Clerk in updating and maintaining the parish registers;
- Safe Church Compliance:
- Assist the Rector in updating ministry licenses and scheduling trainings;
- Serve as the Safe Church Officer to track and manage parish compliance with Episcopal Church and Diocesan requirements, including background checks, Safe Church, and Diversity training.
- Donor and Financial Support:
- Enter weekly donor transactions into the church’s database;
- Process weekly donor reports from counters to the bookkeeper;
- Scan and upload all vendor bills for payment processing;
- Assist with mailings.
- Administrative and Finance Team Support:
- Provide administrative support to the Finance Team, including data entry, filing and inter-office communication;
- Assist with special projects as needed.
Qualifications:
- Strong organizational skills with attention to detail;
- Computer competency, with familiarity with Microsoft Office 365 applications;
- Experience with data entry and comfort learning/using new cloud-based applications;
- A.A. or B.A. in related field or equivalent experience;
- Familiarity with parish or nonprofit administration preferred;
- Ability to handle sensitive information and maintain confidentiality;
- Bilingual competency speaking and writing in English and Spanish preferred;
- Familiarity with the Episcopal Church and its governance preferred;
- This position is available to qualified candidates who are not active participants in the parish community of St. Michael & All Angels.
Schedule and Compensation:
- Maintain regular in-office hours, to be established in consultation with the Rector;
- Unemployment insurance, Social Security, and Workers’ Compensation provided through Diocese;
- This position is not eligible for employer health benefits;
- Vacation, Sick time, and parental leave according to St. Michael’s 2024 Leave Policy;
